Could you provide efficient and professional reception service to the South West Regional Organised Crime Unit (SW ROCU) and to provide admin support to the unit?

Every individual that works for us, is in some way supporting and serving the community we represent, we simply could not do the jobs we do without them. We are now recruiting for a Reception/Admin Support Clerk.  In this key role you will be part of a busy admin team supporting the SWROCU in their fight against organised crime. Your efforts will ensure that the unit have all the tools necessary to be effective in achieving their aims.

 

In this role, your main responsibilities will be:

  • To be responsible for all visitors to the building, maintaining the security of the building by checking identifications, issuing visitor passes as required, ensuring visitors sign in on entry and departure, that they are aware of general health and safety procedures and challenging visitors as required.
  • To be the point of contact for contractors, including arranging for contractors/non-police employees to be escorted whilst at the SW ROCU premises.
  • To manage meeting room requirements e.g IT needs/connections, flip charts, tea/coffees, buffets, ensuring rooms are cleaned for the next year and to attend meetings to take minutes as and when required.
  • To assist in arranging and co-ordinating the 6 monthly fire evacuation tests. In the absence of the Handyperson, conduct the weekly fire alarm test of the SW ROCU building.
  • To manage the fleet vehicle bookings, maintaining accurate records of servicing and mileage for Transport Services, arrange, and assist in delivery and collection of vehicles, which involves an element of driving between the workshop and other sites within the constabulary.
  • To provide an admin support function to the department to include issuing of petty cash, coding of overtime, booking travel and accommodation, raising purchase orders and chasing delivery of goods.

 

Skills, experience and qualifications required:

  • You have experience of MS Office packages including Word, Excel and Outlook to include accurate inputting of data, using basic formulae and chart/graph creation.
  • You have previous experience of working in a reception and/or administrative environment is essential.
  • You have good attention to detail and accuracy, together with excellent time management skills are essential.
  • You have proven experience of good customer service skills and the ability to communicate in a polite and professional manner at all times. You must also have experience of challenging assertively when required.
  • You have proven ability and experience of taking minutes of meetings.
  • You must possess a full current driving licence and be prepared to become an authorised driver of force vehicles.

Please note appointments to this post are subject to a higher security clearance at SC & MV Level.  To be eligible to apply for this role you must have a 5 year ‘checkable history’ in the UK – ideally this means that you would have been resident in the UK for the last 5 years.

Work on a bank or public holiday as part of the normal working week will be compensated in line with conditions of service.

In line with the Joint Services Agreement, the successful internal candidate will remain on their home force terms & conditions and move onto the relevant pay scale for the advertised position: Avon & Somerset scale 3, Devon & Cornwall Grade 2, Dorset Grade C, Gloucestershire scale 3, Wiltshire scale W4
